Allocation Setup - Using Sub-accounts

iTracer gives you an infinite number of possibilities in defining your GL number. The following examples describe three possible ways of defining your GL number parameters using:

  • Sub-accounts
  • Custom mapping using a Chart of Accounts
  • Combination of the two

Example 1 - Defining the GL number using Sub-accounts:

Your general ledger system uses a 14-digit GL number that consists of three parts:

  • Three-digit organizational designator
  • Seven-digit responsibility center
  • Four-digit individual employee designator

You determine that these values can be derived from current Spectrum fields. Because the data can be derived from Spectrum information, your best option is to define your GL number using Sub-accounts.

The organizational designator is the first three positions of the Hierarchy GL Number field. The responsibility center is the entire 7-digit Cost Center field, and the individual employee designator is the last four digits of the 9-digit Employee ID field.

Based on the Allocation setup criteria in this example, the general ledger number for the transactions in the example above is: 34088800050005.
